The secondary legislation confirming exact thresholds is expected during 2026, and RotaKeep will update automatically when those figures are confirmed.

Yes, in full. You can record maternity, paternity, shared parental, and adoption leave with start and end dates. RotaKeep calculates statutory pay automatically (SMP, SPP, SSPP, and SAP) using the current tax-year rates. It also calculates your HMRC recovery amount (92% standard, or 103.5% if you qualify as a small employer), logs KIT and SPLIT days, and calculates holiday accrual during leave.

You can upload scanned copies of RTW documents directly to each staff member's profile. A manager verifies the document, and RotaKeep logs the verifier's name and timestamp as an audit record. Automated daily checks send tiered email alerts at 90, 30, and 7 days before a document expires. If a document expires, the staff member's status updates automatically and a block modal prevents them from being assigned to shifts.

The Bradford Factor is a measure of short-term absenteeism: S² × D, where S is the number of separate absence spells and D is the total days absent. RotaKeep calculates it automatically each time an absence is resolved, and sends a manager alert by email when a score exceeds 200.

Yes. For staff on student visas, you can record their visa type and set a weekly hour limit. RotaKeep monitors scheduled hours against that limit and flags when it would be exceeded. You can configure term dates for each student, and RotaKeep automatically switches between term-time and vacation limits.

Yes, both iOS and Android apps are live in their respective stores. Staff and managers can use RotaKeep on the go.

On multi-site plans, site managers build and submit their rota to an organisation owner for approval before it can be published. The owner can review the full rota, check forecasted hours and wage costs, and either approve (which auto-publishes to staff) or reject with written notes.

Yes. RotaKeep generates a weekly payroll summary including gross pay, Employer NI, pension contributions, tronc distribution, and any one-off payments. You can export this as a CSV for your payroll provider, or have the summary emailed directly.

RotaKeep runs on Google Firebase infrastructure with data stored in UK/EU-based data centres. All connections are encrypted in transit. Sensitive data including Right to Work documents is access-controlled by role. You can request a full export or deletion at any time, in line with UK GDPR.
